Position Purpose :
To provide effective management of meeting logistics, professional administrative support and to ensure effective and
efficient flow of information to all TPL Committees.
Position outputs :
1.Provide administrative support to Company Secretariat function:
# Organise and manage meetings;
# Issue notice of meetings and ensure attendance;
# Prepare meeting agenda;
# Prepare meeting attendance register;
# Prepare meeting packs and ensure distribution of the meeting packs in accordance with the meeting mandates;
# Produce good quality minutes;
# Prepare and circulate matters arising list on proceedings immediately after meeting;
# Prepare and circulate draft minutes of meetings in accordance with the meeting mandates;
# Ensure that minutes are signed, scanned and ensure proper record keeping as per the TPL Records Management
# Ensure proper record keeping of all Recordings as per the TPL Records Management Strategy
# Prepare extracts or excerpts of approvals from the minutes;
# Operate with minimal supervision;
# Meet deadlines and handle queries effectively and
# Provide any administrative support in the office of the Company Secretariat.
Qualifications & Experience :
1. Matric / Grade 12 certificate plus 4 years’ experience in the Committees / Company Secretariat Support environment OR
a Secretariat Diploma plus 2 years’ experience in the Committees / Company Secretariat support environment is required.
2. Good Minute taking and business writing skills is a requirement.
3. Good Command of the English language is required.
4. Knowledge of Transnet Pipelines environment is preferable.
